SOP for Equipment, Instrument and Accessory numbering system
1.0 OBJECTIVE
To lay down procedure for Equipment, Instrument and Accessory number to the equipment and instrument to be installed in various departments.
2.0 SCOPE
This numbering system applicable to provide the Equipment, Instrument and Accessory numbering for the Equipment, Instrument and Accessory installed at [company name]
3.0 RESPONSIBILITY
3.1 Engineering person – To assign the number to new equipment and instrument
3.2 User department – To ensure that all available equipment and instrument available in the their department have equipment or instrument number as per procedure
3.3 Quality Assurance – To ensure compliance to the SOP
4.0 PROCEDURE
4.1 On receipt of equipment or instrument, engineering person shall assign the unique identification number to equipment or instrument as per this procedure. Engineering person shall ensure that approved change control is in place at the time of allocation of equipment or instrument number.
4.2 The numbering of equipment shall be as follows:
AAA-XXXX
Where, AAA is department code and XXXX is serial number for respective department.
QAD – Quality Assurance Department
MCD – Microbiology Department
QCD – Quality Control Department
WHD – Warehouse Control Department
END – Engineering Department
HRD – Human resource and Administration Department
PKG – Packing Department
4.3 The numbering of instrument shall be as follows:
AAA-BBB-XXXX
Where, AAA is department code, BBB is instrument type code and XXXX is serial number for respective department.

4.4 The numbering of accessories used plant shall be as follows:
AAA-ACE-XXXX
Where, AAA is department code, ACE is accessories and XXXX is serial number for respective department.

QCD – Quality Control Department
WHD – Warehouse Control Department
END – Engineering Department
HRD – Human resource and Administration Department
PKG – Packing Department
4.5 List of equipment and instrument shall be maintained by engineering department as per Annexure – 1 and Annexure – 2 respectively.
4.6 List of accessories shall be maintained by user department as per Annexure – 3.
4.7 As and when new equipment or instrument receives in the plant and approved change control is in place, new number shall be entered in the respective list.
4.8 The equipment and instrument list shall be revised on annual basis or as and when needed.
4.9 As and when a new accessory receives in the department, user department shall allocate the new accessory number and maintain the details in respective list.
4.10 Ensure that the equipment, instrument or accessory number is also written/ printed on respective equipment. It should be ensured that while printing the equipment, instrument or accessory number equipment, instrument or accessory should not get damaged or printing aid should not contaminate the product at later stage.
4.11 In case of any equipment, instrument or accessory is discontinued, list shall be updated accordingly to ensure physical availability and lists are in line with each other.
