SOP for Recruitment of Employees
1.0 OBJECTIVE:
To describe the Recruitment process of employees to get right employees for right job.
2.0 SCOPE:
This procedure covers the procedures for recruitment of employees.
3.0 RESPONSIBILITY:
HR Personnel to follow the procedure.
Head – HR to ensure the compliance.
4.0 PROCEDURE:
4.1 Source of recruitment shall be any of the following:
4.1.1 Advertisement
4.1.2 Manpower Consultant
4.1.3 Our Data bank
4.2 Following procedures shall be followed during scrutiny of application.
4.2.1 Educational qualifications, relevant experience etc. shall be taken in to consideration as per HR manual.
4.2.2 After scrutiny of applications, Head – HR or his designee shall submit the applications to concerned head of the department for his review.
4.2.3 The concerned department head shall review the applications and forward the same to Head HR / Designee for conducting the interview.
4.2.4 Head – HR or his designee shall send the call letter / mail correspondence / telecommunication to the concerned applicant.
4.2.5 Head – HR or his designee shall fix the date and time of the interview in consultation with the concerned Head of the department and applicant.
4.2.6 After filling of Employment Application Form of [Company name], the scrutiny of the documents shall be done by the Head HR or his designee and the final interview will be taken by the concerned Department Head / Head HR and Unit Head if needed.
4.2.7 After the interview with concerned applicant, following documents shall be collected from short listed candidates.
4.2.7.1. Employment Application Form along with photograph
4.2.7.2. Handwritten Application / Application form / Bio-Data
4.2.7.3. Birth/ School Leaving Certificate
4.2.7.4 Educational Certificate
4.2.7.5 Any other qualification certificate
4.2.7.6 Any proof of the current / previous jobs (not required in case of Fixed Term Employees)
4.2.7.7 Proof of the present drawn salary certificate, (not required in case of Fixed Term Employees).
4.3 Age Limit of the applicant for recruitment shall be ensured between 18 to 58 Years.
4.4 Process of Recruitment:
4.4.1 After conducting the interview, based on the inputs given by concerned Head of the Department following procedures shall be followed:
4.4.2 Once candidate is selected, if required documents shall be sent to corporate office for their approval and Offer letter. Otherwise provisional offer letter shall be prepared by Head HR or his designee and shall be signed by Unit Head.
4.4.3 After the approval process, Head- HR or his designee shall send the provisional
Offer letter to concerned and request them for performing the Pre-employment medical check-up as per SOP.
4.4.4 Before joining, the concerned employee shall submit the Pre-employment medical check-up report and the resignation letter / service certificate from the previous employer.
4.4.5 The concerned HR personnel shall file all relevant documents in personal file.
4.4.6 Concerned employee will submit joining report at the time of joining to HR Department.
4.4.7 Appointment letter shall be given to the employee on joining.
